Modern Optical International is a family-owned business founded in 1974 and headquartered in suburban Chicago. It’s an industry leader in value eyewear, offering products for men, women and children worldwide.

the objective

Modern Optical is a large company with many employees. They order business cards frequently, so they wanted to see if a solution could be developed that would make the process easier and more efficient. The standard process required them to reach out to their sales representative each time they wanted to place an order and approve a quote and design proof before the cards would go into production. They were interested in a way to expedite the process and eliminate some of the pre-production back-and-forth.

the work

We agreed that the business card ordering process could be easier. Our solution was an online ordering portal where authorized users could log in, enter variable information and place an order — quick and easy!

To build the portal and put it to use, we first needed to design business card templates to serve as a starting point when someone from Modern Optical wants to order. We designed, proofed and received approval on two templates — one for the US and one for Canada. Once the templates were approved, we uploaded them to the portal and also had business card “masters” printed to keep on hand for when orders are placed. The masters are cards that don’t contain any variable information yet, just what is the same on every card: the logo and QR code on the front.

We then programmed the business card ordering portal to allow the user to input all the variable information to make the cards unique. This includes the following:

  • Template (US or Canada)
  • Order quantity
  • Name
  • Title
  • Year hired
  • Cell number
  • Phone number
  • Extension
  • Email

The portal enables the user to preview their card within the portal or generate a PDF they can print or download to ensure all the information is correct before the order is placed.

Another interesting feature of the portal is that it’s intuitive and automatically adjusts the card layout based on the information input. For example, it will display the text “Representing Modern Since [Year]” if the user enters a year. The default tagline “Your Trusted Optical Source – Since 1974” will display if no year is entered. It will also properly align the individual’s contact information, even if one or more items are not included. For example, if no phone number is input (typically listed after cell number and before email), then email will automatically move up into its slot so all information that is input is top aligned with no gaps.

Once the user is happy with the business card design and submits the order, a notification is sent that alerts the production team. The proper version and quantity of the masters is then printed with the information submitted on the back of the cards. Finally, the completed business cards are packaged and shipped directly to the customer. The typical turnaround time is a week or less following the order submission.

the results

The business card ordering portal has been well received by the team at Modern Optical. It has streamlined the entire process and made it convenient to place orders and get the cards quickly. Now, Modern Optical has more control and can order the exact cards they want on-demand. We will continue to collect feedback on the portal and look for opportunities to make it even better. We are excited about how it’s working so far and think it’s an excellent solution for large companies with many employees who regularly need business cards!
